Client Profile Management

Explains how to access a client profile from the client list and manage the client’s contact details, billing information, files, and activity records. It also covers how to complete a quick sale and review financial details associated with the client.

Key Steps

1. Open the Client Profile 0:00

  • Go to the Client List.

  • Locate the client you need.

  • Click the client’s name to open their profile.

  • Use this method whenever you need to review or update a client record.

2. Review the Client Profile Sections 0:08

  • After opening the profile, review the available sections:

    • Overview

    • Billing

    • Credits and Gift Cards

    • Files

    • Activities

  • Use these tabs to find the information you need without leaving the client record.

3. Use Client Communication and Quick Sale Tools 0:16

  • From the client profile, you can perform communication and sales actions:

    • Call the client

    • Text the client

    • Email the client

    • Open Quick View

    • Start a Quick Sale

  • To complete a quick sale:

    • Enter the amount

    • Add a purchase note

    • Select the payment method: cash, check, or card

    • Click the blue completion button at the bottom to finish the transaction.

4. Edit Client Contact Information 0:34

  • Click the Edit button to update client contact details.

  • You can change items such as:

    • Contact type (for example, employee)

    • Email address

    • Physical address

  • After making changes, click Submit.

  • Confirm the updated information appears correctly in the profile.

5. Review Billing Information 1:01

  • Open the Billing tab to view the client’s billing history and payment details.

  • Check for the following information:

    • Vault ID

    • Payment methods

    • Recent payments

  • Use this tab when verifying payment-related records for the client.

6. Check Credits and Gift Cards 1:15

  • Navigate to Credits and Gift Cards to review any gift card or credit-related information.

  • Use this section to confirm balances or related account activity tied to the client.

7. Manage Client Files and Photos 1:21

  • Open the Files tab to manage client attachments.

  • Add photos to the client’s photo gallery as needed.

  • Use this area to store supporting documents or visual records linked to the client profile.

8. Review Client Activity and Financial Records 1:31

  • Go to the Activity tab to review client history.

  • Available activity categories may include:

    • Credit record

    • Communication history

    • Pipelines

    • Finances

    • Events

    • Attendance

    • Workflows

  • Select Finance to view:

    • Paid transactions

    • Total spend

    • Past due amount

    • Customer total

  • Use the finance details to understand the client’s payment status and transaction history.

9. Locate Contact and Payment Details as Needed 1:58

  • If you need to find a client again, return to the Client List.

  • Click the client’s name to reopen the profile.

  • Use the profile tabs to access, contact, edit, and update the client’s information as needed.

Cautionary Notes

  • Verify all edits before clicking Submit to avoid saving incorrect contact information.

  • Confirm the payment method and amount carefully during a quick sale to prevent transaction errors.

  • Use the correct client profile before making changes, especially when multiple clients have similar names.

  • Review billing and finance details carefully before taking action on overdue or payment-related issues.

Tips for Efficiency

  • Use the client name in the Client List as the fastest way to access the full profile.

  • Keep the Overview tab open first to quickly orient yourself before moving to other sections.

  • Use Quick View for a fast check before making edits or completing a sale.

  • Add photos and files immediately after receiving them so the client record stays current.

  • Check Activity > Finance when you need a quick snapshot of spend, past due, and transaction history.
