How to Connect Stackably to QuickBooks and Sync Invoices Both Ways

1. Open the QuickBooks integration settings in Stackably 0:15

  • In Stackably, go to Settings.

  • Open Advanced Settings.

  • Select API.

  • Find the available integrations and choose Connect for QuickBooks.

2. Authenticate your QuickBooks account 0:28

  • The easiest setup is to already be logged into QuickBooks in the same browser.

  • Click Connect in Stackably.

  • Stackably will authenticate your QuickBooks login and connect to the API automatically.

  • Once connected, you should see confirmation that the integration is active.

3. Review synced financial data in Stackably 0:56

  • After connecting, go to the Finance tab in Stackably.

  • You’ll see connected bank accounts and balances that match what appears in QuickBooks.

  • This helps confirm that the account connection is working correctly.

4. Pull invoices from QuickBooks into Stackably 1:06

  • Open the Invoices tab in Stackably.

  • If invoices already exist in QuickBooks, use Pull from QuickBooks to bring them into Stackably.

  • You can pull:

    • a specific date range

    • an all-time invoice update

  • Stackably will import:

    • invoice details

    • customer information

    • balances and due dates

  • If the customer does not already exist in Stackably, it will create that client record automatically.

5. Work with imported QuickBooks invoices inside Stackably 1:48

  • Imported invoices will show a QuickBooks icon to indicate their source.

  • From Stackably, you can still manage the invoice normally:

    • resend it

    • download it

    • print it

    • collect payment

  • This lets you manage QuickBooks-created invoices without leaving Stackably.

6. Create an invoice in Stackably and sync it to QuickBooks 2:19

  • In Stackably, select Create Invoice.

  • Choose the customer/contact, such as Chuck Taylor.

  • Add products or services from your account.

  • Adjust the rate if needed.

  • Choose a template if desired.

  • Click Send to save and send the invoice.

  • Stackably will store the invoice and push it to QuickBooks automatically.

7. Confirm the Stackably invoice appears in QuickBooks 3:17

  • Open QuickBooks and refresh the page.

  • The invoice created in Stackably should now appear in QuickBooks.

  • This confirms the systems are syncing correctly and the invoice data matches in both places.

8. Record a payment in Stackably and sync it to QuickBooks 3:45

  • Open the invoice in Stackably.

  • Click Pay Now.

  • Select the payment method, such as Cash.

  • Mark the invoice as paid.

  • Stackably updates the invoice status and sends the payment information to QuickBooks.

9. Verify the payment status in both systems 4:02

  • In Stackably, the invoice will show:

    • Paid status

    • payment amount

    • payment date

    • remaining balance, if any

  • In QuickBooks, you will see:

    • the invoice marked as paid

    • the recorded payment details

    • the payment method and amount received

  • This ensures both invoice and payment records stay aligned across platforms.

10. Use the integration to keep invoicing centralized 5:22

  • QuickBooks invoices can be pulled into Stackably for easier management.

  • Stackably invoices and payments can be pushed into QuickBooks automatically.

  • The integration helps keep all invoicing activity visible in one workflow while maintaining accurate records in both systems.
