How to Create a New Contact in the Contacts Tab

This SOP explains how to add a new contact record from the Contacts tab, including selecting the correct contact type, entering contact details, and saving the record. It also covers how to verify that the contact was created successfully.

Key Steps

1. Open the Contacts area and start a new client record 0:00

  • Navigate to the Contacts tab.

  • Click Clients.

  • Select Add New Client to begin creating the contact.

  • Choose the appropriate contact type based on the person or record you are adding:

    • Client

    • Employee

    • Lead

2. Enter the contact’s basic information 0:16

  • Update the contact status if needed:

    • Active

    • Former

  • Fill in the contact’s full name.

  • Add the email address.

  • Enter the phone number.

  • Add the date of birth if available and required.

3. Add additional details and pipeline information 0:28

  • Enter the contact’s address.

  • If your account has pipelines enabled, assign the contact to the appropriate pipeline and opportunity.

  • Review all entered information for accuracy before saving.

4. Submit the form and confirm the contact was created 0:43

  • Click Submit to save the new contact.

  • Wait for the system to automatically create the record.

  • Use the search function to locate the new contact.

  • Click the contact name to open the record and confirm the details were saved correctly.

5. Verify successful creation 0:54

  • Confirm the contact appears in the system.

  • Review the contact details to ensure the record was created as expected.

  • Once verified, the new client/contact setup is complete.

Cautionary Notes

  • Make sure you select the correct contact type before submitting, as this affects how the record is categorized.

  • If your account does not have pipelines turned on, skip the pipeline/opportunity fields.

  • Double-check the contact’s email, phone number, and name for accuracy before clicking Submit.

  • Changing the status to Former should only be done when the contact is no longer active.

Tips for Efficiency

  • Gather all contact details before starting to reduce back-and-forth editing.

  • Use consistent naming conventions so contacts are easy to search later.

  • If pipelines are enabled, assign the pipeline/opportunity during creation to avoid updating the record later.

  • After saving, immediately search for the contact to confirm the record was created correctly.
